What Is a Fax and Why It Still Matters

A fax, short for facsimile, is a method of transmitting scanned documents over a telephone line or an IP network. While many businesses have moved to email and cloud storage, fax remains a required channel in sectors such as healthcare, legal, and finance because of regulatory mandates and legacy workflows.

Many users still wonder how the technology has evolved beyond the clunky machines on a desk. Today’s fax solutions range from brick‑and‑mortar devices to fully cloud‑based platforms that integrate with modern business software. For a deeper definition, see what is fax.

Traditional Fax Machines: The Classic Option

Traditional fax machines use analog phone lines to send and receive documents. They typically include a built‑in scanner, printer, and a small display for dialing numbers. This setup works well for offices that already have a dedicated phone infrastructure and need a simple “press‑and‑send” workflow.

Key features of classic fax hardware include:

• Direct line connection (no internet required)
• Physical receipt of paper copies for archiving
• Built‑in error correction through standard protocols (e.g., V.34)

However, the limitations are noticeable: high paper and ink costs, manual operation, and limited scalability for multi‑branch organizations.

Internet Fax (Online Fax) Services

Internet fax services—sometimes called online fax—leverage the cloud to send and receive faxes via email or a secure web portal. Users upload a document (PDF, DOCX, TIFF, etc.) and the service routes it over the public switched telephone network (PSTN) on their behalf.

Benefits of internet fax include:

• Elimination of paper and ink expenses
• Ability to fax from any device with an internet connection
• Integration with popular email platforms (e.g., Outlook, Gmail)
• Automated archiving and searchable logs

Because the service often bundles multiple phone numbers and supports API access, businesses can scale quickly without buying additional hardware.

Fax Over IP (FoIP) and SIP Fax

Fax over IP (FoIP) transmits fax data as packets over an IP network using protocols such as T.38. When paired with a Session Initiation Protocol (SIP) trunk, organizations can route faxes alongside voice calls through a unified communications platform.

FoIP is ideal for companies that have already migrated to VoIP phone systems and want to keep fax within the same network. Typical use cases involve:

• Large call centers that need both voice and fax capabilities
• Enterprises seeking centralized logging and analytics
• Businesses that require high‑availability fax routing with failover to PSTN

The main considerations are network quality (packet loss can affect fax reliability) and the need for compatible equipment, such as an FoIP gateway or a fax‑enabled VoIP phone.

Mobile Fax Apps and Cloud‑Based Solutions

Mobile fax apps allow users to send and receive faxes directly from smartphones and tablets. Most of these apps are front‑ends for an underlying internet fax service, giving the same benefits of cloud fax but with a touch‑optimized interface.

These apps are especially useful for field workers, sales teams, and remote contractors who need to handle fax‑based requests while on the go. Typical features include:

• Camera scanning of physical documents
• Push notifications for incoming faxes
• Secure storage with encryption at rest and in transit

Because the processing happens in the cloud, the mobile experience does not require any special hardware beyond a modern smartphone.

Choosing the Right Type of Fax for Your Business

When selecting a fax solution, start by mapping out the specific business needs: volume of outgoing/incoming faxes, regulatory compliance, integration requirements, and budget constraints. Small offices that fax occasionally may find a low‑cost internet fax service sufficient, while large enterprises often benefit from FoIP integrated with their existing VoIP infrastructure.

Consider the following decision matrix:

• Volume: High‑volume users should prioritize scalability and automation.
• Compliance: Healthcare and legal sectors need HIPAA‑ or GDPR‑compliant encryption and audit trails.
• Device Landscape: If most staff use mobile devices, a mobile‑first app is essential.
• IT Resources: Organizations with limited IT staff may prefer fully managed cloud services.

Cost, Pricing, and Support Considerations

Pricing models vary widely. Traditional fax machines involve upfront hardware costs and recurring line rental fees. Internet fax providers typically charge per user or per fax page, with tiered plans that include a set number of pages per month.

Support quality can be a deciding factor. Look for providers that offer 24/7 technical assistance, clear SLA terms, and comprehensive documentation. Services that include onboarding help, migration tools, and integration guides reduce the learning curve for staff.

Security, Reliability, and Compliance

Security is paramount when transmitting sensitive documents. Modern fax solutions use TLS encryption for data in transit and AES‑256 for storage. For businesses subject to industry regulations, ensure the provider offers audit logs and can sign a Business Associate Agreement (BAA) if needed.

Reliability is measured by uptime guarantees and backup routes. Cloud fax services often have multiple data centers and automatic failover, while FoIP depends on network stability. Evaluate the provider’s disaster‑recovery procedures and whether they offer a guaranteed service level.
